CandaceJ Notary serves as an Authorized Representative for employers who need a trusted local professional to verify new hire identity documents and complete Section 2 of Form I-9. Available mobile throughout the Houston metro area — I come to your employee wherever they are.

What Is I-9 Verification?

Form I-9 is required by the U.S. Department of Homeland Security for every employee hired to work in the United States. Employers must verify the identity and employment eligibility of all new hires. When an employer and employee cannot meet in person — due to remote work, distance, or scheduling — the employer may designate an Authorized Representative to complete the verification on their behalf. As your Authorized Representative I physically examine the employee's identity documents, complete Section 2 of the Form I-9, and certify under penalty of perjury that the documents appear genuine and relate to the employee.

Important to Know

  • I-9 verification is NOT a notarization — no notary seal is applied to Form I-9.
  • Designation as Authorized Representative must come directly from the employer in writing or verbally.
  • The employee must complete Section 1 before the appointment.
  • Section 2 must be completed within 3 business days of the employee's first day of employment.
  • The employer remains legally responsible for the accuracy of the Form I-9.

How the I-9 Verification Process Works

Employer Designates CandaceJ Notary

The employer contacts me directly and designates me as their Authorized Representative for the specific employee's I-9 verification. This designation should be provided in writing.

Employee Completes Section 1

The employee completes Section 1 of Form I-9 on or before their first day of employment. This step must be done by the employee — not the Authorized Representative.

Schedule the Appointment

The employer or employee contacts me to schedule the in-person verification appointment at the employee's location. I come to them.

Document Examination

I physically examine the employee's identity and employment eligibility documents. The employee must present either one List A document or one List B document plus one List C document.

Complete Section 2

I complete and sign the Employer Review and Verification section of Form I-9, certifying that the documents appear genuine. The form is returned to the employer for their records within the required timeframe.

Accepted Identity Documents

List A — Identity & Employment Eligibility

Employees may present one document from this list. Includes: U.S. Passport or Passport Card. Permanent Resident Card (Green Card). Employment Authorization Document (Form I-766). Foreign Passport with I-94. Temporary Resident Card.

List B — Identity Only

Employees must present one document from this list AND one from List C. Includes: Texas Driver's License or State ID. Federal or State Government ID. School ID with photograph. Voter Registration Card. U.S. Military ID or Draft Record.

List C — Employment Eligibility Only

Employees must present one document from this list AND one from List B. Includes: U.S. Social Security Card (unrestricted). Birth Certificate. U.S. Citizen ID Card. Native American Tribal Document. Employment Authorization from DHS.
